Now that you have been assigned a trip, it’s time to start the planning process. The first step in the process is communication. The video in this topic describes the protocol for communicating with passengers and other volunteers, which depends on your role in the trip. However, it’s important to communicate as soon as possible, and whenever you have any question. We always recommend over-communicating as a way of insuring a smooth trip.
If you are having trouble reaching someone, please contact the coordination team for help. This sometimes happens with passengers due to their illness or financial circumstances. The coordination team often has access to other people in the passenger’s healthcare team who can help with the communication.
Volunteer discussion thread
When an itinerary is created for a passenger’s trip, we create a email thread called the volunteer discussion thread. You can use this to easily communicate with all volunteers who are invoved with the itinerary. Reply to the email, or use the “View Discussion Thread” option on the mobile app or the web portal to find the thread and add a comment.
Note that the thread includes all volunteers for the passenger’s itinerary, so your trip as well as the passengers other trip, which may be on another day. This can be important since what happens on the other trip may affect your trip, however, you’ll want to make sure that you know which trip is being discussed to avoid confusion.
